Responsibilities
Review incoming paperwork, including correspondence and invoices, creating copies as needed before distribution.
Categorize and arrange documents alphabetically and by content, dates, and significance.
Maintain and update records by incorporating new files and relevant information.
Safely store paperwork in designated locations, prioritizing the security of vital documents.
Input paper-based information into electronic systems via data entry or optical scanning methods.
Address file access requests promptly and maintain accurate logs of borrowed materials.
Develop and implement an effective filing system that facilitates easy retrieval and updating of files.
Adhere to established policies and protocols to ensure data confidentiality and security.
Monitor and report inventory levels of files and office supplies like paper clips.
Requirements And Skills
Proven experience in a file clerk or document management role.
Proficiency in various filing systems and methods.
Strong familiarity with MS Office applications and office equipment, including photocopiers and scanners.
Clear and effective communication skills in English, both written and verbal.
Reliability, coupled with a commitment to confidentiality and compliance with company policies.
Exceptional organizational capabilities, with keen attention to detail.
High school diploma or equivalent educational background.
