Reporting Relationship :
The Administrative Assistant reports to the Service Coordination Supervisor for all of the duties and responsibilities listed below
The Administrative Assistant will share job responsibilities with the Service Coordination team members
Responsibilities may include, but are not limited to the following :
Reviewing and completing posted administrative assignments daily; reporting progress to the assigned service coordinator
Administrative assignments may include :
Supporting the start of new clients’ cases, including adding new cases to authorization tracker
Following up with families and clinical team members to ensure collection of Welcome Packet documents sent out by Intake Coordinator, ensuring accurate completion of all required documents
Supporting the receipt of valid Written Orders for ABA services by communicating with families and their doctors’ offices
Following up on submitted authorizations by calling / emailing insurance providers, checking portals
Maintaining client records in practice management system (CentralReach)
Assist Service Coordinator in submitting re-authorizations to insurance companies
Tracking, preparing and sending canned emails to clinical staff
Reviewing clinical reports to confirm administrative details are accurate

Meticulous attention to detail; ability to review lengthy packets of paperwork to ensure all details are accurate

Qualifications :
Highschool diploma with at least months of professional work experience
Ability to maintain confidential information, ie handle sensitive case files and follow HIPAA / FERPA regulations
Ability to work in a fast paced environment; handle multiple situations simultaneously and meet deadlines in an efficient manner
Proficiency with basic math; adding, subtracting, multiplying and dividing accurately utilizing a calculator
Proficient technical skills; working knowledge of Google apps including Gmail, Docs, Sheets and Calendars or equivalent programs
Experience or knowledge in ABA service delivery preferred
Effective customer service and communication skills
Organizational / time management / prioritization skills
