Director of Finance

Summary:
Ensures that Club policies are monitored and enforced and coordinates accounting, budgets, taxes and related activities and records; administers procedures and systems pertaining to financial matters; prepares preliminary financial statements, and analysis. Supervises the accounting staff, specifically the scheduling, training, professional development and ensures the accurate and timely delivery of accounting processes.
Essential Accounting Duties and Responsibilities include the following;
· Responsible and supervises the preparation of all accounting reconciliations and the timely preparation and review of general ledger, trial balance and preliminary financial statements.
· Monitors multiple operating, reserve and capital bank accounts.
· Reviews and approves the reconciliation of all banking items, e.g. loan payments and payroll/tax.
· Monitors, updates and transfers appropriate funds to maintain integrity of accounts.
· Reviews daily bank balances and advises on cash flow issues.
· Reviews accounts receivable and assists as needed past due account collection procedures.
· Reviews all cash disbursements.
· Reviews interim and year-end audit preparation.
· Advises General Manager and Treasurer if a material weakness could arise during the annual audit.
· Prepares audit papers as required for outside auditors. Reviews audit for accuracy and makes recommendations to the auditors before the final report is issued.
· Ensures compliance with internal control policies; recommends improvements to existing processes and procedures
· Reviews the preparation of applicable federal, state and local tax returns from the outside accounting firm and appropriate for dissemination to the executive committee and other club committees.
· Ensures that all financial reports are submitted accurately and in a timely manner.
· Assists with the annual budget and development process, specifically working with the department heads to prepare preliminary operating and capital budgets and reports
· Prepares working papers of operating, reserve and capital budgets, working with the General Manager and Department Heads to revise and adhere to budgetary guidelines.
· Prepares G&A departmental budgets and payroll related items.
· Provides continuing support and education to the Department Heads on budget development and variance reporting.
· Participates in the selection of the Club’s insurance policies and monitors property and casualty insurance policies to ensure that assets of the Club are protected.
· Communicates with the Director of Membership and committee on all new membership questionnaires and follows through according to their instructions as well as any additional information or analysis requested or required.
· Communicates and coordinates financial activities with the Board and General Manager.
· Attends Finance Committee meetings, Audit Committee meetings and other committee meetings when invited to be available to answer any financial questions they may have.
· Maintains relationship with bank to manage Club accounts, loans including but not limited to loan requirement as needed.
· Ensures that the General Manager has all information required to efficiently run the operation and is always informed to address the members professionally and with the correct information.
· Conducts meetings with accounting staff and prepares reports for General Manager on all staff related items, especially individual contributions related to specific job responsibilities and work flow.
· Responsible for leadership of accounting staff to ensure timely and relevant communication and teamwork on projects.
· Communicates with co-workers, management and external constituencies (club members, vendors) in a courteous and professional manner.
· Abides by all company policies and regulations; ensures appropriate implementation of GAAP, federal and state regulations.
· Exhibits and maintains a respectful and professional demeanor to reflect a positive image of The Royal Fox and The Grove Country Clubs.
· Performs other duties as assigned by the General Manager/Treasurer or Executive Committee.
· Oversees the hiring, training, coaching and disciplining of department employees within all approved Club policies and in compliance with all governmental agencies.
· Makes decisions according to established policies, procedures and regulations and applies these to work problems.
· Ensures contracts and checks are signed and distributed properly.
Essential IT Duties and Responsibilities include the following
· Assist in the evaluates of the Accounting, POS and Pro Shop system or application performance and determines if the application meets the current and future objectives of the user
· User training for Accounting, POS and Pro Shop including ongoing support.
· Manages data processing and capital budgets. Approves all related invoices.
· Determine optimum software configurations for accounting workstations
Knowledge, Skills and Abilities:
· Extensive knowledge of all accounting functions, preferably in a country club environment.
· Excellent customer service skills and professional demeanor.
· Superior leadership and management skills; awareness of employee’s needs in order to facilitate productivity and create a harmonious working environment.
· Data analysis and report preparation.
· Demonstrated excellence in communication skills in English both written and verbal.
· Ability to understand and carry out verbal and written instructions in English.
· Ability to interact professionally and maintain effective working relationships with supervisors, co-workers and members.
