Seeking an accounting system professional to perform a variety of tasks in order to maintain our accounts payable database and complete accounts payable processes for our corporate accounting and finance department

Qualified applicants will be strongly-skilled at learning new computer systems and verifying the accuracy of data Will be a problem-solver who enjoys working with others to identify and solve discrepancies

This person will need a strong eye for accuracy and an ability to consistently process high volumes of invoices for payment

What You’ll Be Doing :

Serve as primary department Administrator for DocuWare – database administrator of field use and requirements, providing set up and training to new employees and other team members

Make changes to the system to manage / monitor backups, sync up to ERP files, vendor invoice workflow, stamps and task list

Monitor incoming A / P emails, store and index documents electronically Code invoices prior to their approval routing Monitor the invoice approval / payment process optimizing discounts offered

Interact with vendors, customers, IT, Purchasing and Customer Service personnel to analyze and assist with problems, resolutions and optimum processing

Prepare schedules and analysis as requested the Controller

DocuWare Administrator

• Sets up user accounts and trains as needed Establish contact for future issues and support
• Manages database for Quality assurance to maintain integrity of data
• Verifies and monitors Backup process; monitors ERP sync up jobs that run
• Changes weekly and monthly result views used in the accounting process

Implementation Coordinator

• Scans invoices and indexes them into DW, ensuring all documents get stored as appropriate
• Codes and routes invoicing for approval / payment
• Monitors DW task lists and follows up on urgent or discount invoices
• Works with IT for DW-ERP sync enhancements or other report / import options needed
• Creates documentation for new processes in A / P and DW
• Works with existing users to set optimum method and documentation of process
• Monitors corporate monthly billings ensure they are processed timely
• Logs into vendor portal to obtain invoices as needed Vouchers invoices; runs checks
• Creates exports from DW to Excel to confirm data integrity
• Works with Purchasing and Receiving as needed to resolve vendor invoice discrepancies

Schedule : This position is overtime-eligible and will primarily work eight or more hours per day, five days per week based on business needs

Location : This remote-eligible position will be based out of Shelbyville, KY; candidates must live within a commutable distance

This position will require a hybrid working arrangement where employee may be required to work onsite one day per week after training is completed

Qualifications

Two or more years of related experience in accounting roles including accounts payable tasks such as processing vendor invoices and weekly payment runs, matching invoices to receivers and POs

Includes using accounting or manufacturing ERP software and document management software such as DocuWare or similar

• Bachelor’s degree in accounting or related Associate’s degree with two years’ experience or High School Diploma or GED with five or more years’ related experience would be considered equivalent
• Experience with Microsoft Office and document imaging / management software
• Experience processing large amounts of invoices quickly and accurately
• Excellent communication skills and able to communicate effectively at all levels
• Lives within commutable distance to Shelbyville, KY and willing to work onsite for training and as needed This will be a remote-eligible or hybrid-eligible position once training is completed

Preferred :

• Bachelor’s or Associate degree in accounting, IT systems or related
• Experience in a manufacturing environment and using Global Shop Solutions or similar ERP / MRP software
• Strongly-skilled with IT and document systems including experience maintaining an AP database, checking for data accuracy regularly auditing and working inter-departmentally to make improvements
• Experience with sales & use tax laws
